Kids Party Planning Checklist for Perth Parents

Planning a kids' party shouldn't feel like project management, but somewhere between the guest list, the cake and the WA weather forecast, it usually does. Here's the week-by-week checklist we share with Perth families — refined by hundreds of parties — that works whether you're hosting at home, at a park or in a hall.

6 Weeks Out: The Big Decisions

    Pick Your Venue

  1. Backyard — cheapest and easiest; check you have roughly 6m x 5m of flat lawn if a castle is on the wish list
  2. Public park — brilliant for big guest lists, but most Perth councils require approval for inflatables, and that takes 2–6 weeks. Our Perth park party guide lists the best spots and each council's rules
  3. Community hall — the weather-proof option; confirm ceiling height (our castles need about 5m) and power access
  4. Set the Guest List and Budget

A realistic Perth party budget has four buckets: entertainment, food, cake, and party bags. Locking the guest list early controls all four. For entertainment, our 2026 price guide breaks down what castle hire actually costs — short version: from $330 including delivery, setup and pack-down.

    Book the Entertainment

Weekend dates for jumping castles book out 2–3 weeks ahead in Perth — longer for water slides in summer and anything in school holidays. Check availability and book online, and if you live in suburbs like Ellenbrook or Baldivis where weekend slots go fastest, book even earlier.

    4 Weeks Out

  5. Send invitations with a clear RSVP date (a week before the party)
  6. Apply for your council park permit if applicable — we'll email our $20M insurance certificate for the application
  7. Order or plan the cake
  8. Book any extras: the 4-in-1 carnival games are $150 added to a castle booking against $230 on their own, and a generator is $50 if your park has no power
  9. 2 Weeks Out

  10. Chase RSVPs and note dietary requirements
  11. Plan the menu — the Perth classics never fail: sausage sizzle, fairy bread, fruit platters, and far more water than you think you need
  12. Buy decorations, plates, cups and party bag fillers
  13. Think through the party timeline: arrival games → castle time → food → cake → castle time → home. Kids' parties run best at 2–3 hours total
  14. 1 Week Out

  15. Check the forecast and make the weather call early — for heat, shift the party to 9–11am; for rain, remember we reschedule castle bookings free if conditions are unsafe
  16. Confirm your delivery window with us
  17. Assemble party bags
  18. Recruit two helpers: one on food, one on castle supervision (rotating 20-minute shifts — see our safety guide for the supervision rules that matter)
  19. 2 Days Out

  20. Clear the castle area completely: toys, hoses, dog surprises, sprinkler heads flagged
  21. Test the outdoor power point; if the party's at a park, confirm the generator is on your booking
  22. Make ahead whatever food survives the fridge
  23. Charge the camera, buy the ice
  24. Party Day

    Morning:
  25. We arrive 30–45 minutes before your start time, set up, anchor and run the safety briefing
  26. Sunscreen station by the door — SPF 50+, because it's Perth
  27. Shade and water station set up before the first guest
  28. During:
  29. Run the castle in age-group shifts to keep it safe and fair
  30. Food after the first big bounce session — never immediately before
  31. Cake mid-party, not at the end (early-leavers won't miss it, and you get the photo while everyone's fresh)
  32. After:
  33. We come back and handle the entire pack-down — that part of the checklist is ours
  34. Party bags at the gate, leftovers in the fridge, feet up
  35. A Realistic Perth Party Budget

To help you plan, here's what a typical 20-kid backyard birthday actually costs in Perth:
  36. Entertainment (jumping castle, 5 hours): $330, delivered and set up
  37. Food and drinks: $100–150 for sausage sizzle supplies, snacks, juice and ice
  38. Cake: $50–120 depending on bought vs homemade
  39. Decorations and tableware: $40–60
  40. Party bags: $5–8 per child
  41. That lands most parties in the $600–$850 range — and the castle is the line item kids actually remember. If the budget's tight, trim decorations first (nobody's ever left a party raving about the bunting), keep the castle, and make the cake at home.

    The Cheat Sheet

If you only remember five things: book entertainment 3+ weeks out, apply for park permits early, plan for heat, brief your supervision helper, and let the professionals handle setup and pack-down. Everything else is just snacks.
